A badly designed meeting room does not show up on a plan: it shows up after forty minutes, when voices start overlapping, half the table cannot see the screen, and the person dialling in checked out long ago. The mistakes are almost always the same, and they are all avoidable.
Size before decorating
Floor area is the first parameter, and the most frequently overlooked. The baseline rule is 2 sq m per seated person, excluding circulation. An eight-person room therefore assumes sixteen usable square metres, to which clearances behind the chairs must be added, bringing the total to around twenty square metres.

The second parameter is the number of rooms, and how they are split by size. Most projects plan one large room and one medium room, whereas actual usage concentrates on two-to-four-person formats. In a flex office organisation, that imbalance becomes critical: conversations that used to happen at the desk migrate to the rooms, and small formats saturate.
Acoustics before everything else
The perceived comfort of a meeting room depends first on its acoustics, far ahead of the look of the furniture. Two distinct phenomena need treating.
Internal reverberation. In a room with bare walls and a hard floor, the voice bounces and overlaps itself. Intelligibility drops, listening effort rises, fatigue arrives quickly. The remedy is absorption: wall panels, ceiling tiles, rugs, thick curtains, textile furniture.
Isolation from the outside. A glazed room with no treatment lets conversations leak onto the floor and lets the floor’s noise in. Double glazing, door seals and a solid rather than glazed door solve most of it.
Light, natural then artificial
Natural light is a major asset, provided it is controlled. A south-facing room with no blinds becomes unusable for part of the day, and a screen placed opposite a window is unreadable. The orientation of the table relative to the windows therefore matters as much as the presence of windows.
For artificial lighting, three principles are enough:
- aim for indirect, even light, rather than spotlights that carve out faces;
- target around 400 to 500 lux at working level;
- choose a neutral colour temperature, around 4000 K, neither yellow nor blue.
These choices have a direct effect on the quality of video meetings, where a poorly lit face reads as a connection problem.
On a fit-out project, the budget naturally concentrates on what can be seen: the table, the chairs, the screen. Acoustics and lighting are only noticed when they are bad, and they are what determine whether the room gets used or avoided.
Designing for video meetings
The hybrid meeting, with people on site and remote, has become the norm. It imposes design rules that the traditional room ignores.
The camera defines the geometry. It has to see every participant without anyone being in profile or cut off. That pushes towards short, wide tables rather than long, narrow ones, and towards a camera position under the screen, at face height.
The microphone has to cover the whole table. A microphone built into a screen picks up poorly beyond two metres. Above six participants, a table microphone or a multi-capsule system becomes necessary.
The screen has to be readable from the furthest seat. A simple rule: the screen diagonal in centimetres should be about one sixth of the distance to the furthest seat. At four metres, that means a screen of at least 165 cm.
The background matters. A plain wall behind participants beats a circulation route, a door or a backlit window.
Furniture, last
Furniture comes after these choices, not before. Three points deserve attention.
Chairs first: an hour-long meeting requires decent seating, with a backrest supporting the lower back. Purely decorative chairs are a false saving, they cut meetings short for the wrong reasons.
The table next: oval or round for working meetings, where everyone has to see everyone, rectangular for presentation setups. Plan for cable routing and sockets accessible from the table, otherwise trailing extension leads reappear.
Writing surfaces last: a whiteboard or a writable wall remains the most used tool in working rooms, and the most frequently forgotten in fit-out projects.
Matching the room to its real use
A room should not be multipurpose by default, it should be designed for its dominant use. A collaborative working room needs writing surfaces and mobile furniture. A presentation room needs a generous screen and acoustics oriented towards the speaker. A client-facing room needs care over the entrance, the seating and the light.
